How To: Set Up User Permissions

by Daniel Neville on 2009/03/10

We are always trying to add extra functionality to BrandsEye, we believe it can only be useful as an ORM tool if it continues to evolve and give its users what they want. This week Craig, our chief technical officer, announced the addition of user permissions to BrandsEye.

So what exactly are these user permissions? Currently they are quite a simple and consist of two levels.

Level 1 - Full (Edit &View)

This level will allow the user access to all the current BrandsEye functions - which includes adding trackable phrases to the account and all the reporting functions available.

Level 2 - Reporting (View Only)

Users who are restricted to this level will only be allowed to view sorted and rated mentions and reports. These users will not have access to account set up, mention sorting or rating. This level will, however, allow you to edit your contact details.

The most obvious benefit of user permissions is that you can give someone access to your account, which means they can view reports without worrying about them playing around with the nuts and bolts of the account set up. This removes the risk of someone inadvertently editing or adjusting the account.

The user permissions also tie in very nicely with the Custom Saved Reports function which allows you to save reports in chronological order for later viewing - more here. With user permission you now have the ability to give someone a generic login that is set to a level 2 user permission, allowing them to log in and view saved reports.

Setting Up User Permissions

If you are adding a new contact to your BrandsEye account you will be given the option to set the user permission level during the set up. However if you would like to change the user permission level for a contact that already exists with in an account the following three step process is how you do it;

Click on the contacts tab in your left hand navigation once logged into BrandsEye, you will then see a list of contacts associated with your account and next to them the user permission level they currently stand at. As you can see from the screen shot below all the contacts associate with Quirk eMarketing’s account have a user permission level of "Full" which means that they can both view and edit the account

Click on the edit button on the right next to the contact person that you would like to add a user permission level to. This will take you to the details screen of that contact - see below. Once there, select the user permission level that you would like to assign to that person. As you can see below we have chosen to assign Sarah a user permission level of view only.

Once you have done this click save and you will be taken back the contact screen - see below. As you can see Sarah now has her user permission level set to view only - meaning all he can do is view reports and rated mentions within the account. It’s as easy as that!

Please note that currently the addition of user permission levels to accounts has only been implemented for Enterprise accounts and a user’s permission level can only be changed when they are created or changed through their details page later on.
